FSS is a large, dynamic team that operates very much like a family which is owned by Partners, Simon Croft, Richard Smailes and Dan Brumfitt.  Our Lettings Department is the largest in Harrogate with a portfolio well in excess of 1000.  We are seeking persons to help us maintain our reputation and first class service to our clients.

Maintenance Co-Ordinator 

Location: Harrogate 

Employment: Flexible between: Full Time, Monday to Friday 9:00-17:30 and 1 in 4 Saturdays 09:30-12:30, or, Part Time, Wednesday to Friday 9:00 - 17:30 and 1 in 4 Saturdays 09:30-12:30

Reporting to:  Senior Maintenance Co-Ordinator 

Overview 

The Maintenance Coordinator oversees maintenance and compliance across all company divisions including Residential Lettings, Commercial Management, and Residential & Commercial Sales. This role involves coordinating repairs, inspections and continuous maintenance tasks, ensuring timely and efficient resolution of all issues.  The position requires strong collaboration with Contractors, Landlords, Tenants and Property Managers to maintain high standards of property upkeep. 

Responsibilities 

Maintenance Operations 

  • Co-ordinating repairs and maintenance for a portfolio of up to 1,000 residential properties and a growing number of commercial properties.
  • Respond promptly to maintenance requests from Tenants and Landlords.
  • Instruct and follow up with Contractors, ensuring all are properly qualified, with up-to-date insurance and indemnity coverage, renewed annually as needed.
  • Effectively utilise property software applications such as Fixflo, Reapit, and Re-Leased to optimise processes and enhance the efficiency of property management operations.
  • Manage inspection, inventory and check-out feedback from colleagues, ensuring necessary rectification works are completed.
  • Conduct property inspections as required.
  • Oversee project management works involving full property refurbishments.
  • Perform quality control, visit properties to sign off works and collect feedback from Tenants.
  • Ensure compliance with all legal requirements within the appropriate timescales.
  • Process invoices and coordinate with the Accounts Team to ensure timely payments to third parties. 

The Person 

  • The ideal candidate will have strong mediation and negotiation skills, a basic understanding of general maintenance and property construction, and the capacity to excel in a fast-paced environment.
  • Exceptional interpersonal and communication skills, with the ability to foster and maintain positive, long-lasting relationships.
  • Able to perform efficiently under pressure, meeting tight deadlines while upholding high-quality standards.
  • A proactive problem-solver, capable of addressing and resolving issues as they arise.
  • Meticulous attention to detail and excellent organisational abilities.
  • Proven experience in managing projects within budget and on schedule.
  • Full UK driving licence required
